The Renewal Specialist is accountable for proactively monitoring, maintaining and extending service contracts for existing customers. The primary responsibility of this position is to monitor contract renewal terms and to actively engage with customers to determine most mutually beneficial actions that retain and expand the relationship. The Renewal Specialist will partner with sales, be primary contact with customers and provide guidance regarding continuing support and contract renewal. Uses seasoned judgment in non-routine renewal matters that maintains contract integrity and profitability.


  • Review customer renewal information, usage data, renewal rates and cancellations to recommend the appropriate course of options for customer. Collaborate across the organization to develop tactics to attain successful account renewals and maximize account growth.
  • Proactively identify contract expirations and drive the renewal process.
  • Educate customers on support or contract offerings based on current product or service needs..
  • Fully comprehend the renewal process, products and pricing. Participate in process improvements and optimization of existing procedures.
  • Coordinate the preparation of renewal quotes and the processing of customer requested changes, merges or expansions per company policies and procedures. Work across various departments to resolve problems, ensure timely renewals and high levels of customer satisfaction.
  • Provide proactive handling of incomplete requests, speed to resolve issues, and unfailing follow up.
  • Meet assigned productivity levels and maintain productivity documentation as required. and
  • Respond to requests from customers, partners, distributors, and internal sales teams within service level agreement standards.
  • Works with Sales, Finance, and Support teams, when necessary, to create mutually-beneficial solutions.
  • Research information such as list pricing, current contract pricing, equipment specifications and configurations for use in renewal and expansion activities.
  • Inputs accurate and up-to-date records on pricing and quotes, include rationale for pricing decisions and discounts, e.g. exception documentation. Obtain appropriate approvals prior to discussions with customers.
  • Understand IT equipment, data center configurations, as well as how components interact with each other in order to accurately price and identify missing components.


  • Must be able to manage multiple priorities and competing demands.
  • Must be able to respond in a timely and professional manner to all requests via email, phone call, or face to face.
  • Maintain positive co-worker and customer relationships under stressful and demanding conditions.
  • Must be able to work additional hours during month end or times of critical volume.
  • Participate in special projects as needed.
  • Other duties and projects as assigned

Associate's degree or equivalent minimum; Bachelor's degree preferred.


  • Three to Five (3-5) years of experience with pricing, quoting, or sales support.
  • Demonstrated advanced level skill and experience with Microsoft Excel and other Microsoft Office Suite products.
  • Exceptional interpersonal agility and request management skills.
  • Able to work with complex information with minimal supervision.
  • Knowledge and experience in reading, understanding and formulating responses to pricing quote requests and RFP's.
  • Product familiarity with different types of data center hardware, configurations and architecture.
  • Prior experience in the hardware computer industry, preferred.
  • Experience with OEM and/or competitor pricing, a plus.
  • Ability to work long hours or over standard, when required.

Special Knowledge, Skills & Abilities

Communication Skills: These are critical to this position. Excellent communication skills - both verbal and written. Ability to read and interpret documents such as safety rules, business plans, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups employees, customers or vendors, etc. Ability to regularly, clearly and effectively communicate with Sales, Pricing, various other teams, and vendors.

Mathematical Skills: Possess numbers acumen. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry, statistical analysis and data modeling. Proficient with operations in MS Excel.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Problem Solving: Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully. Looks beyond the obvious and doesn't stop at first answers. Outside the box thinker who looks for creative solutions.

Organizational Skills: Must be strongly detail-oriented and have project management and follow through skills. Ability to prioritize and multi-task. Ability to handle multiple proposals and deadlines at once.


Occasional travel by car, plane or bus.
