Job Purpose

The Project Officer plays a key role supporting community, education and prevention activities within the Wellbeing & Inclusion function of Student & Academic Services.

An annual fixed term Project Officer position exclusively for former UofG elected student representatives focused on providing project and operational support to various teams across the Wellbeing & Inclusion function of Student and Academic Services. The postholder will work with colleagues on specific projects that focus on improving student support, services and experience. Training and on-the-job mentoring and support are embedded in the role and whilst projects and tasks will vary annually, all will require an excellent understanding of the lived student experience and some knowledge of the University's structure, processes and people. The postholder will be responsible for assisting colleagues in the design and delivery of student facing projects, service review, and/or data insight that enhances student support and experience, including producing a range of outputs that could include internal reports and presentations.

It contributes to the planning, coordination, and implementation of initiatives that promote student engagement, inclusion, and wellbeing, while also supporting the improvement of induction activities to ensure they are inclusive, student-informed, and welcoming. Working collaboratively across teams, the postholder helps enhance the student experience at all stages of the student lifecycle, contributing to initiatives that strengthen students' sense of belonging and mattering, working closely with staff networks, university-wide programmes, and student organisations.

Main Duties and Responsibilities

1. Deliver effective project support across Wellbeing & Inclusion teams, including data collection, analysis, and reporting, as well as contributing to the design and implementation of service improvement initiatives-such as student engagement, community-building events, induction enhancements, and enquiry support.

2. Provide insight grounded in student perspective, lived experienceand sector experience to inform project planning and service design, ensuring user needs are embedded throughout, including providing tailored training and development to enhance staff understanding of students' expectations, challenges, and concerns.

3. Support the implementation of projects as part of cross-functional teams, helping to achieve intended outcomes and benefits. This includes offering constructive challenge during all stages of the project lifecycle and contributing to evaluation and reporting.

4. Ensure compliance with university-wide policies and procedures, particularly in relation to data protection, confidentiality, and the secure handling of personal information. Additionally, adhere to standard operating procedures and team-specific practices across Student & Academic Services.

5. Undertake a broad range of project-related tasks as directed by the Line Manager or Project Lead. These may include facilitating focus groups, conducting internal and external research, supporting front-line service delivery, preparing reports, organising events, and presenting findings to stakeholders across university services, colleges, and schools.

6. Contribute to a culture of continuous improvement by identifying opportunities for service innovation, suggesting enhancements, and supporting the implementation of new processes that improve service quality and student outcomes.

7. Engage in relevant professional development activities, keeping up to date with best practices and acquiring skills to support effective service delivery and project contribution.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Either: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2 Strong IT knowledge, including Microsoft Office, especially Word, Excel, Teams and PowerPoint.

A3 Knowledge of the lived student experience and how it varies across level of study and student cohort.

Desirable:

B1 Knowledge of University systems, e.g. PIP, CMIS, MyCampus, Moodle, T4.

B2 Knowledge and understanding of Higher Education structures, policy, practices and procedures.

Skills Essential:

C1 Ability to understand and apply policies, regulations, guidelines and standard operating procedures relevant to the role.

C2 Strong organisational and time management skills; ability to work under pressure and meet tight deadlines.

C3 Accuracy and attention to detail.

C4 Ability to respond and adapt to changing priorities.

C5 Strong interpersonal skills, with the ability to work with a wide range of people.

C6 Ability to work collaboratively to achieve team goals.

C7 Strong communication skills, both verbal and written.

C8 Confidence to identify when issues need to be escalated to appropriate levels.

C9 Discretion and the ability to maintain confidentiality.

Desirable:

D1 Ability to support formal meetings, including preparation of papers, meeting organisation, note taking and communication of actions.

D2 Ability to support and contribute to project management.

Experience

Essential:

E1 Elected lead officer (President, Vice President, Secretary) experience in one of the four Glasgow student organisations with evidence of responsibility and delivery gained in a busy student focussed environment.

E2 Experience of advocating student interest and partnership working with staff to design, deliver, implement service and experience improvement, comprising use of data and feedback to inform change.

Desirable:

F1 Experience of working in university professional services.

F2 Experience of project development and delivery.

Terms and Conditions

Salary will be Grade 5, £28,031 - £31,236 per annum.

This post is full time and fixed term for up to 12 month
